🚀 Quick Start

This is the fastest way to use Career CRM with your preferred AI assistant.

1. Upload your master CV to AI
Use ChatGPT, Claude, Gemini, Grok, Copilot, or another AI assistant you trust.

2. Share the job description and tailor your CV together
Give AI the job description link or paste the full job description. Ask it to tailor your CV with relevant ATS keywords while keeping everything truthful to your experience.

3. Create and tailor your cover letter
Ask AI to draft a cover letter aligned to the role, company, tailored CV, and your real experience. Refine it until it sounds like you.

4. Apply or save the draft application
Keep the exact version of the CV and cover letter you submitted or plan to submit.

5. Create your Career CRM card using the Example Golden Card
From the blank template:

  • Open the Example Golden Card
  • Click Export Card
  • Upload the exported JSON card into your AI assistant

Then ask:

“Using this example Career CRM card, create a new Career CRM card for this role. Include fit score, risks/gaps, interview prep, questions to ask, timeline, recruiter details if available, and include the FULL job description, FULL exact submitted CV text, and FULL exact submitted cover letter text.”

6. Import the generated card
Download the JSON card from your AI assistant, open Career CRM, click Import Card(s), and continue tracking the opportunity.

Quick Start

Short version: tailor CV and cover letter with AI, apply or save the draft, open the Example Golden Card, click Export Card, upload that JSON to AI, ask AI to create your new Career CRM card, then import it.

Recommended Workflow

1. Find a role
Focus on jobs that genuinely match your experience and strengths.

2. Save the full job description
Job ads disappear. Save the exact wording for interview preparation later.

Paste the full job description into the card under Full Job Description.

3. Tailor your CV using AI

Example prompt:

“Please tailor my CV to this job ad. Include relevant ATS keywords, highlight my strengths against the responsibilities, and keep the content authentic to my experience.”

Provide:

  • Your master CV
  • The full job description

Ask AI to:

  • Align keywords
  • Highlight measurable achievements
  • Improve ATS matching
  • Stay truthful to your experience

4. Apply for the role

  • Tailored CV
  • Cover letter
  • Job description
  • Recruiter contact (optional)

5. Save what you submitted

Career CRM works best when each card stores the exact application record, not just file names.

  • Paste the full job description into Full Job Description
  • Paste the full exact submitted CV text into Submitted CV
  • Paste the full exact submitted cover letter text into Submitted Cover Letter
  • Use file pickers only as filename helpers

Golden rule for AI card generation:

Always include the FULL exact submitted CV text, FULL exact submitted cover letter text, and FULL job description text inside the Career CRM card. Do not summarize these sections. The card acts as the permanent application archive.

6. Generate a Career CRM card using AI

“I applied for a role on [date]. Please create a Career CRM JSON import card for me. Include company, role, status, priority, fit score, risks/gaps, interview prep notes, suggested questions, timeline, follow-up date, source, recruiter details if available, the FULL job description, the FULL exact submitted CV text in submittedCvText, and the FULL exact submitted cover letter text in submittedCoverText. Do not summarize the CV, cover letter, or job description fields.”

7. Update an existing card using AI

“Please update this Career CRM card. New status: [status]. Add timeline updates, recruiter feedback, interview notes, follow-up actions, revised fit score if needed, and keep all existing archived CV, cover letter, and job description content unchanged unless I provide replacements.”

8. Prepare for interviews using AI

“Using this Career CRM card, job description, submitted CV, and cover letter, prepare me for interview. Include likely questions, strongest talking points, risks/gaps and how to answer them, STAR examples, smart questions to ask, and customer success/account leadership positioning.”

Then:

  • Download the JSON card from your AI assistant
  • Open Career CRM
  • Click Import Card(s)

Application History & Card Updates

Career CRM also supports single card export and smart card updates, making it easier to keep each application accurate over time.

Export a single card
Open any existing application card and click Export Card. This downloads only that selected opportunity as a JSON file.

This is useful when you want to:

  • review one opportunity in detail
  • update an existing application with AI
  • add recruiter feedback or interview notes later
  • enrich older cards without editing your full backup

Importing an updated card
When you import a card that already exists in Career CRM, you can choose how to handle it.

  • Merge / Update — updates the existing card while keeping useful existing information. Recommended for timeline updates, recruiter notes, interview prep, and enriched job details.
  • Replace — replaces the existing card completely with the imported version. Best for correcting a broken or incomplete card.
  • Duplicate — imports the card as a new copy. Useful when tracking multiple roles at the same company.
  • Skip — leaves the existing card unchanged.

Why this matters
Applications evolve. Recruiter conversations, interview notes, feedback, follow-ups, and new job details often appear weeks or months after applying.

Career CRM helps preserve your full application history so you can always see what you applied for, what CV and cover letter you used, what the job description said, what feedback you received, and how the opportunity progressed.

Browser Storage Note

Career CRM stores data locally in your browser. If you open a blank template in the same browser where you already use Career CRM, your saved local data may still appear because it is reading that browser's local storage.

To test a clean blank template, open it in a different browser, a private/incognito window, or after clearing that browser's local Career CRM data.
